Embryo Export Coordinator

 

The Embryo Export Coordinator’s primary responsibility is to manage logistics that ensure the efficient shipment of bovine embryos to international markets while complying with all relevant health testing regulations and documentation requirements.

Responsibilities

  • Exporting, Documentation & Compliance
    • Facilitate the end-to-end export process, including processing export requests, compiling documentation, preparing tanks and embryos for shipment, and tracking exports to their destination
    • Draft, review, and organize all necessary export documentation in proper sequence. This includes health certificates, USDA paperwork, commercial invoices, packing lists, and certificates of origin
    • Prepare packing lists and pack tanks for export, confirming proper labeling and verifying quantities
    • Ensure compliance with international trade regulations and health requirements
    • Act as a liaison with import agents, government officials (USDA APHIS), and foreign authorities
    • Communicate with customers and international buyers regarding shipment status and requirements
    • Track shipments, ensuring timely delivery while resolving any issues that arise
    • Maintain accurate records of shipments and customs documentation
    • Assist new and existing customers with the international shipment process
    • Generate shipping labels
    • Arrange for, prepare, and track domestic shipments
    • Coordinate donor health testing
  • Office Administration & Client Services 
    • Handle all office inquiries by phone or email, building customer relationships and providing excellent customer service
    • Act as the key contact for customers – sending service agreements, updating contact information and records, confirming appointments, and coordinating animal testing 
    • Serve as a point of contact for international customers – addressing inquiries, providing shipping updates, and resolving any issues related to export orders
    • Ensure accurate and timely invoicing, correcting billings and issuing credit memos for customers as needed
    • Verify and manage embryo and semen inventory
    • Assist the day-to-day operations of other team members to ensure that customer requirements are met
    • Oversee special projects as needed
    • Fill in as regional courier as needed
    • Opportunity to learn embryology to assist part time in the laboratory if desired

Requirements

  • Bachelor’s degree in animal science, dairy science, logistics, supply chain management, or related field (experience with the registered cattle industry may be substituted for education)
  • Experience in the livestock industry – particularly with an emphasis on bovine genomics and EPDs

What we are looking for

  • Proficiency or familiarity with the Google Office Suite (Gmail, Google Calendar, Google Sheets, etc.), Quickbooks, UPS Worldship, and Adobe Acrobat
  • Understanding international trade regulations and health protocols for animal products
  • Experience in import/export coordination and documentation or a related logistics role
  • Familiarity with pulling data from various cattle breed associations
  • Detail-oriented with exceptional accuracy in documentation and record-keeping
  • Excellent organizational and multitasking skills
  • Professional demeanor and strong work ethic
  • Exceptional verbal and written communication skills
  • Outstanding time management skills and ability to work under pressure and meet tight deadlines

Madison is only a 20-minute drive with many cultural and social activities. Given the concentration of breeders in close proximity, and partnerships with nearby donor herds, the workday ends by 4 or 5pm nearly every evening. Professional Services Embryologist

 

We are seeking to add a full-time embryologist to join our energetic and rapidly growing team. The candidate will have the opportunity to work in both our state-of-the-art mobile laboratory performing field embryology and our well-established IVF lab performing all duties associated with in vitro embryo production.

Responsibilities

    • Preparing media and plates for the day
    • Searching for and grading oocytes
    • Learning our culture, fertilization, and freezing process
    • Assisting the veterinarian cow-side with procedure set-up, cattle handling, and injections
    • Searching for, washing, grading, and processing bovine embryos for fresh transfer or freezing
    • Thawing embryos and loading guns to assist with frozen embryo transfer
    • Managing embryo and semen inventory
    • Cleaning and disinfecting laboratory and farm equipment
    • Entering data and maintaining accurate records
    • Communicating with clients regarding their inventory, donors, upcoming appointments, or relaying information from the lab
    • Helping teammates with other duties as needed, such as couriering incubators and packing tanks for export

What we are looking for

  • Bachelor’s degree in animal science, dairy science, or related biological science field (Experience in a laboratory setting and/or in the registered cattle industry may be substituted for education)

  • Knowledge of and/or experience in the cattle industry

  • Proficiency or familiarity with the Google Office Suite (Gmail, Google Calendar, Google Sheets, etc.)

  • Excellent hand/eye coordination

  • Detail-oriented, organized, and adaptable

  • Professional demeanor and strong work ethic

  • Exceptional communication and interpersonal skills
